Sakai 23 - Getting Started Guides and Tutorials: How do I integrate Google Meet with Sakai?

How do I integrate Google Meet with Sakai?

While there is no specific tool or other direct integration between Google Meet and Sakai, instructors can post to Sakai links and other relevant info for students to join meetings hosted by Google Meet. If using a designated folder in Google Drive to share recordings or transcripts of prior meetings with the class, instructors might also post a link to that Google Drive folder next to any other Google Meet info posted in Sakai.

Important: For guidance on handling class recordings with respect to FERPA and Washington state law, please refer to the article, Web Conferencing: FERPA & Privacy.

Copying & pasting Google Meet joining info

Typical locations in Sakai where instructors can post info about Google Meet meetings include:

  1. the Overview page
  2. a Lessons page (e.g., the “Course Information” page)
  3. events created in the Sakai Calendar tool

The Google Meet conference information, copied from Google Calendar or from other Google applications, is typically formatted as plain text. An example pasted into a Sakai Calendar event’s Message text area is depicted below.

After pasting such text into Sakai’s rich-text editor, instructors can revise it further to transform URLs formatted as plain text into clickable hyperlinks. Specific guidance for posting Google Meet information to Sakai is available in the following video. For general guidance on how to create hyperlinks in the Sakai rich-text editor, refer to this article or this video tutorial.

Posting Google Meet info in the Overview page

Instructors can post Google Meet info within the site information display, the rich-text block forming the left column of the Overview page. Refer to the Site Setup Tutorial’s section on editing the Overview page for general guidance. An example of the Overview page with Google Meet joining info is depicted below.

Note that if posting Google Meet info in the Sakai Calendar events, the Calendar widget displayed in the right column of the Overview page would also provide a means to students for accessing that information. The Google Meet info will display when students access a given calendar event’s details.

Posting Google Meet info in a Lessons page

Instructors can post Google Meet info as a block of rich text within a Lessons page, such as the “Course Information” page, included in most course sites that use the standard template. Use of headings within the Lessons page can help demarcate this information on the page, as depicted in the example below.

Posting Google Meet info in Sakai Calendar

Instructors can post Google Meet info within the Message text area for events created in the Sakai Calendar tool1

Events created in Sakai Calendar can be configured to occur only once or repeat. The Google Meet joining info pasted into the valid will be valid for each repetition of the event, if defined.

When students select to display the details for a calendar event, whether via the Calendar tool or in the Calendar widget in the right column on the Overview page, the Google Meet info posted within the Message section of the event will display.

Click the day on a calendar to view that day’s events below. Then click the title of the event to view its details.

1. The Calendar tool which is currently not part of the standard template can be added to a Sakai course site using the usual means for adding and organizing other such tools.
