Common Issues & Questions

Q: How do I join meetings, start meetings, and other actions like in Zoom?

Much of the actions are the same in both Zoom and Google Meet. To view a step-by-step guide to start a meeting, add meetings to your calendar, share your screen, etc., view the following guide: Switch from Zoom to Meet - Google Workspace Learning Center

Q: How do I use the controls in meetings?

Q: If I record my meeting, where does that recording go, and how can I share it?

If you were the meeting organizer, your recording will save to your Google Drive in a “Meet Recordings” folder.
From there, you can choose to:

  1. Move or Link the recording into a Shared Drive for your class.
  2. Share the file directly with your students using the Share settings on that file 

Important: For guidance on handling class recordings with respect to FERPA and Washington state law, please refer to the article, Web Conferencing FERPA & Privacy

In accordance with FERPA & Privacy regulations, please do not upload your class recordings to YouTube. Recordings are for your class only, not to be distributed.

Q: Do my guests need to have a google account to join my meeting?

No, anyone can join a meeting from outside the organization or without a Google account if given the link, or by dialing in on their phone.

Q: The controls are different on my mobile device. How do I use the Google Meet app on my phone?

Q: I need a waiting room in Google Meet. How do I create one?

While the Waiting Room feature is still in development, here is a workaround to create a makeshift Waiting Room:

To preface, while it is possible to simply set your meeting to "Restricted" access, it is not always foolproof. To help ensure the Restricted Meeting function doesn't fail, follow these steps.

Steps to creating a makeshift Waiting Room
1) Choose "Schedule for Later" when creating your Google Meet session.

2) Go to your Google Calendar meeting and paste the link in the description, not the "add video conferencing" section.

3) Once in the meeting, locate the host controls by clicking on the shield icon in the bottom-right corner of the screen. host controls location
4) In the host controls panel, scroll down to find the “Meeting Access Type” section.

5) Select “Restricted”, which effectively creates a waiting room for your meeting

    By restricting your Meeting Access:

    • Participants who aren't explicitly invited will need to ask to join the meeting. Meaning, when you share the link rather than directly inviting someone, they will be placed in a waiting room.
    • You'll have control over who enters the meeting and when, just like in the Zoom meeting room.

    It's important to note that:

    • If you've chosen to "add video conferencing" instead of following the steps above, invited participants via Google Calendar or Classroom will still be able to join directly.
    • If you select “Host must join before everyone else”, people cannot be in a waiting room for the meeting before you join.

    When participants try to join your meeting:

    • They will see an "Ask to join" button on their screen.
    • You'll receive a notification that someone is asking to join.
    • You can choose to admit individuals one by one or admit all waiting participants at once.

    Q: I need to set up a poll with pre-written questions. How do I do that?

    If you want to save your poll ahead of time, please make sure to click “Save” instead of “Launch” after writing the poll questions and answer options.
